Program Structure

Plan your live events alongside me as I plan two fall events.

During this Done-With-You program, I'll guide you through each step via weekly recorded 90-minute Zoom calls to ensure a successful and well-organized launch. Each week you'll have a checkpoint to reach and have the opportunity to share your process to get real-time feedback.

Week 1:
Define Your Objectives - Before diving into the details, it's essential to clarify the purpose and objectives of each event. Ask yourself questions like: What do you want to achieve with these events? Are they for networking, brand awareness, lead generation, or something else? Having clear objectives will help guide your decisions throughout the planning process.

Week 2:
Determine the Target - Audience Identify the target audience for each event. Who are you trying to reach? Understanding your audience will help you tailor your messaging and design experiences that resonate with them.

Week 3:
Set a Budget - Establish a budget for each event. Consider all the necessary expenses, including venue rental, marketing, speakers, catering, materials, and staff. Stick to the budget throughout the planning process. Plan for generating income via ticket sales, sponsorship opportunities event offer sales, and post-event repurposing of content.

Week 4:
Choose Event Themes and Formats - Select themes and formats for your fall events. Themes can tie the different elements of an event together, while popular event formats can include retreats, workshops, seminars, panel discussions, or networking sessions.

Week 5:
Book Venues and Vendors - Secure suitable venues for each event and book necessary vendors, such as catering, audiovisual equipment providers, and event management services.

Week 6:
Create a Timeline - Develop a detailed timeline for each event, outlining tasks, deadlines, and responsibilities. This timeline will keep you on track and ensure that everything is completed on time.

Week 7:
Design Engaging Content and Activities - Plan compelling content and activities for both events. Arrange speakers, panelists, or presenters who align with your objectives and will provide value to your attendees.

Week 8:
Marketing and Promotion - Craft a comprehensive marketing plan for each event. Utilize various channels such as social media, email marketing, online advertising, and partnerships to reach your target audience effectively.

Week 9:
Registration and Ticketing - Set up a registration and ticketing system for both events. This can be done through a website, event platform, or ticketing service, making it easy for attendees to sign up and purchase tickets.

Week 10:
Coordinate Logistics - Manage logistics for each event, including registration, on-site coordination, signage, and catering. Create contingency plans for any potential challenges that may arise.

Week 11:
Gather Feedback and Analyze - After each event, gather feedback from attendees, sponsors, and partners. Analyze the feedback to identify strengths and areas for improvement. This will help you fine-tune your approach for future events.

Week 12:
Post-Event Follow-Up - Following the events send thank-you emails to attendees, sponsors, and partners. Consider providing post-event content or surveys to continue engaging with attendees and collect additional feedback.

Throughout the 12-week planning period, you will be able to adapt and adjust your plans as needed and remain flexible to accommodate any changes. With a well-thought-out strategy and a focused approach, you'll be ready to successfully launch your fall and winter events at the end of the 12 weeks!
